Following the success of the first edition, the Promotional Support Programme for Meetings and Events 2026 has been launched, initiated and coordinated by Poland Convention Bureau – Meetings and Events Office of the Polish Tourism Organisation). The goal of the Polish Tourism Organisation (PTO) is to implement a recurring programme to promote Poland by supporting the acquisition and organisation of promotional events carried out by external entities.
Promotional Support Programme for Meetings and Events
The Promotional Support Programme for Meetings and Events serves as a tool for the Professional Congress Organisers Recommendation Programme, the Professional Incentive Travel Organisers Recommendation Programme, and the Polish Congress Ambassadors Programme, all of which operate under separate regulations. T
he objective of the Programme is for PTO’s PCB to provide support to professional meeting and event organisers, Polish Congress Ambassadors and other entities actively involved in the process of bringing international business, cultural, scientific, political, sports, or corporate meetings and events to Poland.
Promotional Support Programme for the Meetings Industry 2026 in Practice
The following entities are eligible to apply to the Promotional Support Programme for the Meetings Industry 2026 edition:
- Polish Congress Ambassadors,
- The Chapter of the Polish Congress Ambassadors Programme,
- Polish Tourism Organisation,
- Polish Congress and Conference Association,
- Representatives of Local Congress Ambassadors Clubs,
- Municipal and regional Convention Bureaux,
- Congress organisers recommended under PTO’s Poland Convention Bureau programme,
- Other business event organisers supported in their application by a municipal or regional Convention Bureau (in this case, the submission requires a recommendation from the local Convention Bureau),
- Congress venues supported in their application by a municipal or regional Convention Bureau (in this case, the venue’s submission requires a recommendation from the local Convention Bureau).

Circumstances related to the acquisition of a meeting or event for which a Promotional Package may be awarded:
- Presentation of BIDS (offers) at the Event Owner’s or Organiser’s headquarters or at an event where the final presentation of potential host cities takes place,
- Study visit/inspection visit to Poland for representatives of the Organiser (e.g. PCO, event agency) or Event Owner (association, corporation, other),
- Online and offline promotional materials (prints, banners, videos) and Polish souvenirs for VIP guests,
- Rental and setup of promotional stands aimed at promoting the host city at a preceding international event,
- Online PR activities: production of promotional content and advertising,
- Invitation of an important keynote speaker (expert) to an event in Poland,
- Activities contributing to the reduction of the event’s carbon footprint.
Projects eligible for the Promotional Support Programme for Meetings and Events must aim to secure:
- International meetings/events with a minimum of 100 foreign participants (Package 1) or more than 150 foreign participants (Package 2),
- Meetings/events lasting at least 2 days (minimum 1 night),
- Meetings in the following formats: conferences, congresses, trade fairs, workshops, meetings with elements of incentive travel and other recurring business meetings with a history of at least 2 editions, or corporate events of an integrative, training, motivational, or educational nature for employees, distributors, or invited guests,
- Meetings/events scheduled at least 45 days before the start date,
- Meetings/events in the bidding stage, where Poland is on the shortlist of maximum 5 destinations,
- Other meetings/events whose Organiser expresses willingness to cooperate with PTO to promote Poland as the venue or considers PTO’s substantive involvement in preparing the event programme.
Promotional Services for PTO
Within the promotional package, the Applicant is obliged to provide promotional services for PTO before and/or during the implementation of the promotional project, in particular:
- Granting PTO the title of Partner of the promotional project,
- Placing the PTO and PTO’s PCB logo or information about the PTO/ PTO’s PCB partnership in the submitted bid, as well as on selected advertising media and promotional materials (e.g., invitations, posters, social media),
- Providing an agreed number of invitations to the event, if possible,
- Displaying the PTO/ PTO’s PCB logo and the promotional video of Poland on LED screens/monitors during the promotional project.
- Appropriate visual and textual materials will be provided after qualifying for the programme.
Applications to the Promotional Support Programme for Meetings and Events will be collected on a quarterly basis until the budget funds allocated by PTO for this purpose in the given calendar year are exhausted.

Due to high interest, all funds for the 2026 edition have been fully utilised. Information on the next edition of the support programme will be published in early 2027.
