Low Sensory Room by PolandCVB – how to use the zone during an event

The Low Sensory Room (LSR) by Poland Convention Bureau is a new solution being introduced at events supported by the Polish Tourism Organisation’s CVB, designed for meetings of 300 participants and above. Developed in partnership with the Mamy Podobnie Foundation, it is a mobile, modular low-sensory set-up, created in line with recognised good practice in neuroinclusion and accessibility, to support a more inclusive participant experience.

 

What is the Low Sensory Room

Its core principle is clear: the LSR is not a “VIP zone”, but practical participant support, enabling short periods of rest and nervous system self-regulation. It is an inclusive space, open to all attendees at PolandCVB-supported events who, at a given moment, need calm, fewer sensory stimuli, or a chance to regain comfort.

By introducing the LSR, we strengthen the quality of the participant experience and, in doing so, deliver on the statutory objectives of the Polish Tourism Organisation. A focus on wellbeing translates into higher guest satisfaction, a more professional organiser profile, and a stronger reputation for Poland as a destination that understands today’s MICE market expectations and responds with tangible solutions.

The LSR is practical evidence that commitments to responsibility and inclusion can be translated into measurable action.

Morphing Bag

You are welcome to lie down comfortably and make use of the available supportive items. Noise-reducing headphones are provided, with single-use hygienic covers. An eye mask is also available, together with disposable wipes or liners. If helpful, you may choose to use a weighted bag, for example, placed gently on the chest, to support grounding and sensory regulation.

 

Rocking Chair

Please take a seat and allow yourself to rock at a pace that feels comfortable. Should you wish, you may use the noise-reducing headphones with single-use hygienic covers, as well as an eye mask with disposable wipes or liners. Additional options include a weighted shoulder wrap, a weighted lap cushion, or a weighted bag to support proprioceptive input.

A trolley within the space also provides stress-relief items and other sensory tools designed to support self-regulation and individual comfort.

Beanbag

Please take a comfortable seated position. If supportive, you may use the noise-reducing headphones, with single-use hygienic covers provided, as well as an eye mask with disposable wipes or liners. Additional options include a weighted shoulder wrap, a weighted lap cushion or a weighted bag.

A trolley within the space offers stress-relief items and other sensory tools to support self-regulation and individual comfort.

 

Weighted items

Weighted equipment provides deep, evenly distributed pressure, which can support nervous system regulation and enhance a sense of physical security. For many individuals, such input may be beneficial during periods of sensory overload, heightened tension or overstimulation.

Items can be used either in a seated or reclining position, depending on personal preference and individual needs.

 

  • The weighted shoulder wrap applies balanced pressure across the shoulders and upper arms, which may help reduce muscular tension and increase bodily stability.
  • The eye mask limits visual stimuli, supporting calm, inward focus and sensory regulation when experiencing overload.
  • The weighted bag delivers deep pressure to selected areas of the body, assisting with nervous system regulation and the reduction of physical tension.
  • The weighted lap cushion gently applies pressure to the legs or torso or chest area, promoting relaxation and supporting overall comfort.

Items for touch stimulation

 

These items support the regulation of tension and arousal through contact with varied textures and resistance under the fingers. For many individuals, they can be helpful when seeking to calm the body, release stress or anchor attention in physical sensations. You are welcome to use them at any time, for as long as and in whatever way feels comfortable and appropriate to your needs.

 

  • Stress-relief squeeze tools can be pressed or kneaded to help discharge tension, settle the body and occupy the hands with a simple, repetitive movement.
  • Polished mineral spheres, when rolled in the hands, provide a pleasant, cool tactile stimulus and can assist in focusing attention on bodily sensations.
  • Textured sensory panels allow exploration of different surfaces and levels of resistance under the fingers, supporting regulation and grounding.
  • Sensory balls, when touched or rolled across the hands, offer more intensive tactile input and may help reduce physical tension.

Items for visual stimulation

 

These items support nervous system regulation through observing slow, predictable movement and gradual visual change.

For many individuals, they can be beneficial during periods of overload, heightened anxiety or difficulty settling racing thoughts. You may engage with them briefly or for as long as you find helpful.

 

  • Lava lamp – the gentle motion and evolving shapes can help soothe visual focus and reduce tension.
  • Sequin sensory panel – moving the sequins creates calm, repetitive patterns that support visual regulation and concentration.
  • Liquid or glitter timers – watching the slow flow of liquid or suspended glitter can help organise attention and quiet intrusive or fast-moving thoughts.

Noise-reducing headphones

Hearing is often one of the quickest senses to become overstimulated. Background noise, conversations and environmental sounds can rapidly lead to overload and fatigue. Noise-reducing headphones help limit auditory input and give the nervous system a short period of relief.

This can make it easier to re-regulate, feel calmer and return to a more comfortable level of participation.

 

Zone hygiene

 

We are committed to maintaining cleanliness and comfort for everyone using the space. A single-use wipe or liner is used with the eye mask, and single-use hygienic covers are provided for the noise-reducing headphones. All items such as squeeze tools, mineral spheres, timers and sensory panels are disinfected with spray after each use.

The Low Sensory Room (LSR) by POT PCB is a new solution being introduced at events supported by the Polish Tourism Organisation’s Poland Convention Bureau. This mobile, modular calm zone, designed for meetings of 300 participants and above, raises the standard of congresses, conferences and business events by responding to growing expectations around wellbeing and neurodiversity.

The solution supports organisers in delivering responsible, inclusive events aligned with the latest trends in participant experience design, while also providing tangible comfort, even within intensive programmes.
